- FAMILIES:
- Families and close friends may choose triple and quad occupancy discounts - all still with comfy beds - in our larger canvas tents: A third tent mate receives 15% off the base price, and a fourth 20% off -- a great option for families and friends.
- 10% discount on base price for guests 10 years old and younger (proof of age may be requested)
- GROUPS:
- Group bookings of 8 or more receive a 10% discount...and
- 6 or 7 receive an 8% discount on the base price of regular guided or instructional trip packages (not applicable to customized packages or Kyuquot Field Station bookings for camp rental, meals, tent space, or kayak rental);
- alternately, an equivalent commission can be arranged for a group organizer in lieu of individual participant discounts; discount applied to final invoice once numbers confirmed.
- EARLY BOOKING:
- 10% discount on PREVIOUS SEASON'S base price for confirmed registrations with deposit by December 31 for the upcoming season (e.g., discount on 2010 prices if booked by Dec. 31, 2010 for the 2011 season!)
- 10% discount on base price for confirmed registrations with deposit by February 28 for that season
- 5% discount on base price for confirmed registrations with deposit by March 31 for that season
Please Note: Only 1 discount option applies per person, group, or trip -- happy to discuss and clarify specific to your situation.
We are happy to customize packages - discounts or surcharges will apply depending on what's being changed, overall group size, and associated administrative expenses to accommodate what you're after!
Registration, Payment & Cancellation Policy
Please note: Full payment of trip fees is due 60 days prior to the departure date. If booking your trip within 60 days of the trip date, you may request to review the Release of Liability & Waiver of Claims Form prior to providing full payment to confirm your seat.
You will receive a complete West Coast Expeditions Pre-trip Information Package after we receive your registration form and deposit. This pre-trip package includes a more detailed trip description, equipment list, questionnaire, medical form, and Release of Liability & Waiver of Claims form. Please complete and return these with your final payment which will be invoiced by email and is due 60 days before your trip start.
We require that all international guests carry medical travel insurance while on tour with West Coast Expeditions. Similarly, we recommend that Canadian guests also consider carrying medical travel insurance and notify their provincial health care plan provider if travelling out-of-province to be with us.
For cancellations we are always as reasonable, understanding, and flexible as possible in applying the following policies so that the scenario is fair for all involved:
- For guest cancellations earlier than 60 days before trip departure, the deposit is retained if we've had to turn other customers away for that trip and are unable to fill that seat(s). Otherwise, the deposit is refunded less a $100 administration fee per person. If WCE cancels the trip, a full refund is provided.
- Full payment of trip package fees are due 60 days prior to the departure date -- without this, your seat reservation...and deposit...are at risk. Please advise us and make arrangements if circumstances require a delay in final payment.
- Guest cancellations between 59-30 days before the trip are eligible for a 50% refund of the base package price and full refund of any associated upgrades if West Coast Expeditions incurs no penalties associated with cancelling upgrades (e.g., float plane flights as part of the package). If we can fill the vacated seat, only the deposit is retained and the balance refunded.
- Guest cancellations within 29 days of scheduled departure are not eligible for a refund unless we can fill the vacated seat (in which case the deposit is retained and the balance refunded).
